Job Position – Executive Secretary (Job Grade III)
Required Qualification and Experience
Education: A bachelor degree in Secretarial Science, administrative/Office management, or other relevant fields of study.
Experience: Seven or more years of progressively responsible work experience in general administrative/executive secretary work.
Knowledge & Skills: application of common business processes, practical business support methods, procedures and systems used in area of work; good communication skills; ability to proactively identify and recommend areas for improvement to the design and delivery of specialized services, experience in coordinating the work of others and self; and ability to maintain confidentiality. Experience in a multicultural setting is an advantage. Additional knowledge related to the field of economics is also an advantage.
Language skills: fluency in Amharic and English
Salary: As per the salary scale of EEA, which is attractive with additional benefits. It is also negotiable depending on the professional profile and expertise of the applicant.

Job summary
An Executive Secretary’s primary role is to act as a central point of contact, ensuring smooth operation and effective communication by providing high-level administrative support to executives, managing their schedules, correspondence, and other essential tasks.
Specific duties and responsibilities:
Manage and maintain the executive’s schedule, including appointments, meetings, and travel arrangements.
Coordinate meetings, conferences, and events, ensuring all necessary arrangements are made.
Manage email correspondence, prioritizing and forwarding important messages.
Handle and manage incoming and outgoing correspondence, including emails, letters, and memos.
Draft and proofread letters, reports, and other documents as needed.
Maintain organized files and records, ensuring information is easily accessible.
Handle confidential information with discretion and integrity.
Make travel arrangements, including booking flights, hotels, and transportation.
Submit and reconcile expense reports.
Provide general office support, including ordering supplies, managing office equipment, and greeting visitors.
Maintain contact lists and other relevant information.
Perform other related duties as assigned by executives.
