Job Summary:
The Office Admin Assistant will play a crucial role in managing and maintaining the office’s daily
operations, ensuring smooth communications, and supporting human resources tasks. In this role, you
will work closely with the IEYA team to enhance the organization’s impact.
Key Responsibilities:
Provide administrative assistance to ensure efficient office operations, including managing
correspondence, scheduling appointments, and organizing meetings.
Oversee the day-to-day functioning of the office, including maintaining office supplies,
equipment, and facilities.
Maintain accurate records and documentation, both electronic and physical, including filing
paperwork, updating databases, and managing confidential information.
Assist with various HR tasks such as onboarding new employees, managing employee records,
and coordinating employee benefits and payroll.
Handle petty cash and expense reimbursements, manage office budgets, track expenses, process
invoices, and reconcile accounts.
Organize and coordinate office activities, events, and employee engagement initiatives.
Provide timely and accurate reports to senior management on office operations, HR matters, and
petty cash management.
Track stock levels, prepare purchase requests for office supplies, and ensure timely orders.
Address day-to-day issues and challenges in the office environment, troubleshooting problems,
resolving conflicts, and ensuring smooth operations.
Provide support to team members as needed, including assisting with projects, preparing
documents and reports, and facilitating communication and collaboration among team members.
Role
Strong interpersonal, written, and verbal communication skills, with the ability to communicate
effectively with all levels of staff.
Proficient in MS Office Suite Applications.
Demonstrated experience in petty cash management, reconciliation, and reporting is a must.
Demonstrated ability to manage multiple projects under deadlines.
Knowledge of HR principles and practices.
Strong attention to detail, organizational skills, and the ability to prioritize tasks accordingly.
Professional demeanor, strong ethics, trustworthiness, and ability to maintain confidentiality
when dealing with sensitive HR, payroll, and petty cash matters.
Ability to maintain confidentiality and handle sensitive information with discretion.
