Job Position – HR Assistant

Required Qualification and Experience
Education: Education: BA /Diploma level or equivalent vocational study in fields such as Management, Human Resource Management and other relevant field of studies
Minimum of 2 years’ relevant experience
Employment Term: 10-months contract
Reported to: HR Coordinator
Required positions: 1 (One)

Essential duties and responsibilities.
Assist with the overall recruitment process of the organization.
Manage the onboarding process for new joiners.
Assist with performance management procedures.
Maintain and update staff personal files and data both manually and digitally.
Oversee the completion of compensation and benefits documentation.
Conduct orientations and update records of new staff.
Produce and submit reports on general HR activities.
Sort, file, register, and dispatch incoming and outgoing human resources correspondence. Prepare personnel actions and memos.
Maintain all HR policies and procedures, ensuring appropriate formats are well preserved.
Manage the exit process for staff leaving the organization, including completing termination paperwork, conducting exit interviews, facilitating clearance, and ensuring the return of ID cards.
Facilitate the preparation and distribution of identification cards for all staff, including those in field offices.
Update the recruitment roster by recording candidate education status, work experience, and other necessary data from the waiting list after the recruitment process.
Supervise cooks and cleaning staff.
Manage staff annual leave, update the leave balance quarterly, and share it with the line manager.
Manage staff pension registration.
Facilitate staff timesheets and archive approved timesheets appropriately.
Assist monthly staff payroll preparation and final payment preparation
Handle any HR-related issues as deemed necessary.
